Sometimes configuring a disk space Quota on your Server is not enough. This is because if you even set a hard limit of 2 GB per user, some might fill the 1 GB of shared space with their videos and songs. Quota restricts user to share a certain amount of data. Which type of data is up to user. So even if you’ve configured quota there’s no guarantee that users will stop putting useless stuffs on shared folder and consume space. To control this we have File Screening Management.
File Screening Management helps system administrators to control what the users put in the shared folder. That is you decide which types of files should be allowed in the Shared folder and which shouldn’t be
But controlling each user can create problems. What if you disallow the CEO or Project Managers to put videos in their shared folders? They won’t like a System Administrator what to put and what not to. In this case, you can create a separate folder for the C-level executives and allow the videos and music file types for their folder. In this way, everyone is happy! File Screening Management is one of those small little powerful tool that will make your life so much more simpler!
So lets see how to configure File screening Management in Server 2012.
- Select File and Resource Manager from Tools.
- Under File and Resource Manage select File Screening Management.
- Select File Groups. At the right side, you’ll see predefined File Groups, Include Files and Exclude Files.
Now the point to remember is file extensions under Include Files has all the file types which CANNOT be uploaded on shared folder if you select that a group. This is not a group of files which are allowed.
If you exclude *.avi, and apply Audio and Video file group on shared folder, then users CAN upload avi files.
- If you want to create your own template, Right-click and select Create File Group.
Name the file and enter the file types you want to include in this Group. That is file types users should not be allowed to upload.
Your new group will now appear in File Groups.
- File Screen templates are the ready made templates provided by Microsoft.
- You can either use the predefined template or create your own. Right-click and select ‘Create File Screen Template‘.
Give the template a name, and select the files groups you want to add in it.
If user tries to upload a file which is restricted, enable E-mail notification. Click on Ok.
You can now see your template.
- Now go to File Screens. It will be empty since we haven’t created any File screen until now. Right-click and select Create File Screen.
- Enter the file path, and select one option from the File screen properties.
- Check the summary of your new File Screen and click Create.
- Your File Screen is ready to use.
- Log in from other system which is a part of domain and open the Share from server.
- We have two files. A random text file named 050291.txt and a mp3 file Sound.mp3. Copy text file into shared folder.
- But when you try to copy Sound.mp3 you’ll be denied access to paste it on the shared folder.
There are two types of screening. Active and Passive. Active screening restricts user from pasting any data in the File groups selected in File Screening. Passive Screening allows users to upload all data, but an e-mail and event is generated with the name of user and file uploaded.
